Position: Estimating & Procurement Executive
Location: Aylesford
Hours: Monday-Friday, 37.5 hours/week, 8:00am-5:30pm with ½ hour lunch (option for 1 hour lunch, finishing at 5:30pm)
Salary: Competitive, DOE
About the Role
An exciting opportunity has arisen for an Estimating & Procurement Executive for a bespoke carton manufacturer. Reporting to the Estimating and Procurement Team Leader, you will provide technical expertise and support across all areas of production and operations administration.
We are looking for a detail-oriented professional with experience in production-based administration and a keen eye for cost efficiencies.
Key Responsibilities for a Estimating & Procurement Executive:
- Receive enquiries from Customer Service Executives and other internal teams to create accurate estimates for potential jobs and tenders.
- Raise official Works Orders for production jobs using business management systems.
- Source and raise Purchase Orders for materials, consumables, items, and services required for production jobs.
- Liaise internally with sales, QA, logistics, production, planning, and finance departments to collate job information.
- Manage logistics and warehousing for work in progress.
- Input, record, and update job data in business management systems; generate reports as required.
- Raise Purchase Orders for site consumables, miscellaneous items, maintenance parts, engineer visits, and service agreements.
- Monitor raw material and consumable stock levels.
- Process Purchase Ledger invoices for approval.
- Control and replenish office stationery supplies and production staff uniforms.
- Establish and maintain relationships with suppliers and business contacts.
- Implement and monitor supplier performance through KPIs and other measures.
- Communicate clearly and professionally with suppliers via email, phone, and in-person meetings.
- Participate in continuous development and team targets.
- Ensure compliance with business management system and certification requirements.
- Undertake training on new systems, including Shuttleworth and other business information management systems.
Skills and Attributes for an Estimating & Procurement Executive:
- Team-oriented with the ability to share knowledge and skills.
- Strong organisational and time-management skills; able to prioritise multiple tasks under pressure.
- Confident, enthusiastic, and motivated to learn and develop.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and ability to build productive supplier relationships.
- Understanding of Gross Profit and margins.
- Previous experience in a technical field, ideally purchasing and estimating.
- Experience in packaging or greeting cards is advantageous.
- Proficient in Microsoft Office.
- Organised, methodical, and logical in approach.
- High degree of initiative, flexibility, and willingness to learn negotiation techniques.
