This is a dynamic, non-traditional EA role where you will act as a true right hand to the Founder - serving as a central hub for communication, an operational partner, and a key driver of execution across multiple business priorities. You will be embedded in a fast-paced, high-performance environment, helping to streamline workflows, manage information flow, and ensure seamless day-to-day operations.

Key Responsibilities

  • Manage and optimise the Founder's calendar, priorities, and daily/weekly workflows
  • Proactively remove inefficiencies to ensure focus on high-impact activities
  • Prepare briefs, agendas, and follow-ups for meetings and calls
  • Track key action items and ensure timely execution
  • Manage social inboxes (namely Instagram), maintaining high-quality interactions with high-profile content creators and potential clients
  • Act as a central point of communication across internal teams
  • Attend meetings, capture detailed notes, and translate discussions into clear action points
  • Relay key insights and context to relevant stakeholders
  • Identify gaps, misalignment, and opportunities, flagging proactively
  • Review and manage written communications, including:
    • Email correspondence
    • Automated messaging flows
    • Internal and external written content
    • Educational or presentation materials
  • Ensure consistency in tone, clarity, and brand voice
  • Maintain exceptional attention to detail across all outputs
  • Produce reports covering priorities, updates, and key takeaways
  • Track project progress, highlighting completed vs. outstanding actions
  • Maintain systems (e.g., project management tools) to ensure visibility and accountability
  • Organise regular travel arrangements

The Ideal Candidate Profile

  • 2-5+ years' experience as an Executive Assistant/ Personal Assistant
  • Exceptional organisational and time management skills
  • Strong written and verbal communication skills with excellent grammar
  • Proven ability to manage multiple priorities and stakeholders simultaneously
  • Ability to compile information quickly and communicate clearly
  • Strong judgment on prioritisation and escalation
  • Confident acting as a bridge between senior leadership and teams
  • Experience with project management and collaboration tools (e.g., Asana, Notion, Miro, Canva or similar)
  • Comfortable working across multiple platforms simultaneously
  • Proactive in improving systems and workflows
  • Strong command of tone, messaging, and written communication
  • Experience reviewing or managing content (emails, scripts, or similar)
  • High level of accuracy and attention to detail
